Youth Exchange - Refunds

The refund costs for the Youth Exchange program vary by which program you are in. See clarification below for the Inbound and Outbound Programs. All dates are approximate. In all cases, the ruling of the District 6270 Rotary Youth Exchange Chairman will be controlling.

Inbound Program

Once the host Rotary Club has filed an Inbound Student Reservation Commitment form with the District RYE Committee, and the District Youth Exchange Chairman has committed for that student at the annual meeting in Grand Rapids (mid-July, for arrival 13 months later), the club is then obligated to pay all the costs associated with the student, regardless of whether or not the club hosts the student.

For whatever reason, if the club is unable to host the student, that club is still responsible for the commitment fee of $1,150, the $825 total monthly allowance, and the $540 total for school lunch, once the student arrives (total of $2,515.00). The district will attempt to place the student in the district, and if not possible, the student will be placed in another district participating in Central States Rotary Youth Exchange. If the District Committee is able to place the student with another Rotary club who has also paid the required fees, the amounts paid in by the defaulting Rotary Club will be refunded. Any refunds under this section are subject to the ruling of the District RYE Chairman, and shall not be unreasonably withheld.

Outbound Program

The application fee of $1,150 is due with the completed outbound student application, usually by November 1 of each year. Up until the complete application is forwarded to Central States Rotary Youth Exchange for processing (usually December 1), if the student backs out, the refund will be $1,100. From that time until the student accepts his or her country assignment (February), if the student backs out, the refund will be $850. Once the student accepts the country assignment, and until the student commits to attendance at the required outbound orientation (February - early March), if the student backs out, the refund will be $600. From then until the student commits to attendance at the required Grand Rapids conference (June), if the student backs out, the refund will be $250. Once the student commits to attendance at the required Grand Rapids conference (July), if the student backs out, the refund will be $0.
